1. Introduction

Welcome to Tidal Swim Club, a swim school dedicated to teaching children aged 2.5 years and older in a safe, supportive, and engaging environment.

These Terms and Conditions govern enrolment in our swimming programmes and outline the rights and responsibilities of both the Club and its members. By enrolling a child in our swimming lessons, parents or guardians agree to comply with these Terms and Conditions.

2. Enrolment and Registration

Registration Process: Enrolment may be completed online via our website or by submitting a contact form. Once started, the enrolment process must be completed within 14 days. If not completed within this period and no extension has been requested, your space may be offered to another child.

Age and Ability: Children must be at least 2.5 years old to join. Class placement is based on age and swimming ability. If your child does not suit their allocated class, an assessment may be required. Tidal Swim Club will offer the most appropriate alternative class based on ability.

Waiting List: If a class is full, children will be placed on a waiting list and contacted when a space becomes available.

3. Fees and Payment

Fee Structure: Lesson fees are charged per term or monthly, based on the number of sessions scheduled within that period. A full price list is available on request or via our website.

Payment Methods: We accept direct debit and bank transfer. Payment instructions are provided upon enrolment.

Payment Deadlines: All fees must be paid in full by the due date listed on your invoice to secure your place.

Missed Payments: If payment is not received by the due date, a reminder email will be sent with a new payment deadline. Failure to make payment by the revised deadline, without providing a valid reason, may result in removal from the class schedule and your space being allocated to another participant.

Refunds and Credits: Refunds are not issued once a term has commenced, except under the conditions outlined in Section 4.

Discounts: A 15% discount is available for Military and Blue Light cardholders. Valid ID must be presented to claim this discount.

4. Cancellations and Refunds

Participant Cancellations: One month's written notice is required to withdraw from lessons. Refunds are not provided for missed or partially attended lessons.

Club Cancellations: In the event of unforeseen circumstances such as pool closures or instructor absence, we will attempt to reschedule affected lessons. If this is not possible, a refund or credit will be offered.

Make-up Lessons: Make-up lessons are not offered due to the structured nature of our swim programme.

Refund Eligibility: Refunds are only considered in exceptional cases such as extended illness or emergencies, with supporting medical documentation.

5. Class Attendance and Punctuality

Attendance: Consistent attendance is essential for progression. Please inform us if your child will be absent.

Missed Classes: Missed lessons are non-refundable and non-creditable unless specified under Section 4.

6. Health and Safety

Medical Conditions: All medical conditions or disabilities must be disclosed in writing before the first lesson to ensure appropriate support.

Illness Policy: Children who have experienced vomiting or diarrhoea within the last 48 hours must not attend lessons.

Communicable Diseases: Please adhere to current public health guidelines. Children with contagious conditions should stay at home.

Behaviour Expectations: Swimmers must follow all safety instructions from instructors and staff.

Parental Supervision: Parents/guardians must remain on the premises for the duration of each lesson. Children under 16 must be collected poolside at the end of the session.

7. Instructor Assignments and Class Changes

Instructor Changes: Tidal Swim Club reserves the right to change instructors at any time without prior notice.

Class Adjustments: We may adjust class sizes or groupings to meet swimmers' needs and maintain instructional quality.

Combining Classes: Classes may be combined due to low enrolment or staffing considerations.

8. Code of Conduct

Behavioural Expectations: All participants and their families must behave respectfully toward instructors, staff, and other families.

Zero Tolerance Policy: Bullying, aggression, or disruptive behaviour will not be tolerated. The Club reserves the right to withdraw services from individuals who breach this policy.

Respect for Staff: Courtesy and respectful communication with staff is expected at all times.

9. Photography and Media Consent

Media Use: Photographs and videos may be taken for promotional use or training purposes.

Consent: Consent is requested at the time of registration. You may opt out at any time by informing us in writing.

10. Data Protection and Privacy

Data Use: Personal data is collected and stored for administrative and safety purposes.

GDPR Compliance: We comply with UK GDPR regulations. Your data will never be shared without consent, except where required by law.

Data Retention: If you cancel or leave our programme, your personal data will be deleted after 14 days. If you return after this period, a new registration process will be required.

11. Liability and Insurance

Club Liability: Tidal Swim Club takes all reasonable measures to ensure a safe environment. We are not liable for injury or loss unless caused by negligence.

Parental Responsibility: Parents/guardians are responsible for their children once they exit the poolside.

Insurance: We advise all swimmers to have personal accident insurance.

12. Changes to Terms

Right to Amend: These Terms and Conditions may be updated at any time.

Notification: Updates will be communicated via email and published on our website. Continued attendance indicates acceptance of revised terms.
